1. How time is recorded on Runrun.it

Runrun.it uses Play to record time on tasks, but you can also adjust it manually.

To ensure that the time invested in developing your tasks is properly recorded in Runrun.it, activate and pause play during the development of your tasks - this way, the time invested will be correctly recorded.

The data is very useful for work management, as it allows generating more assertive estimates of the time required to perform each type of task and dimensioning the deadlines for the development of demands.

With clear time metrics, the manager is also able to understand the productivity of the team, the actual deadlines for calculating deliveries and the costs of customers for the company.

Our next step will be to show how the manager can activate this feature so that all users maintain their time records.

2. How to activate the system lock for time adjustments

The time screen serves as a system lock, and can be activated by the account administrator, so that team members do not forget to enter their adjustments.

Click on Settings > Time management in the top right corner, as shown in the image below, to make this adjustment.

It is possible to specify a number of days for users to adjust the hours in the time tab or tasks.

In the Access blocking for time recording adjustments the administrator or manager can define when the user will be redirected to the Time in case of more or less recorded hours.

Note:

  • Only account admins can enable this feature.

  • When the deviation in the record occurs in one (or more) of the last six days, the record is blocked.

  • Account administrators are not blocked.

  • By deleting tasks, projects, clients, task types, and users, the hours associated with them are erased. A user can be blocked because a second user deleted a task he was working on.

  • When hours are recorded on days outside the configured shift (such as Saturdays, Sundays, and holidays), the user will be blocked the following business day.

  • If the user is created today, accesses Runrun.it tomorrow and does not have any tasks, he will be blocked. The day of yesterday will need to be justified.

After carrying out all the time adjustments indicated or justifying the whole day, the user will be unblocked and will be able to browse Runrun.it normally.

Each feature available on the time screen is described below.

3. Locating the time tab on the 'Me’ screen

The time screen can be located at the top of Runrun.it, just click on the Me, and then on the Timesheet.

This screen can also appear after logging into Runrun.it when some time adjustment is needed. As shown in the image below, your screen will be automatically redirected to the system after you have made all the adjustments indicated:

Next, we will detail each feature of the timesheet.

4. Timesheet features

As mentioned above, the time screen will appear when adjustment is needed. In this space it is possible to:

  • View the hours and minutes worked, per day and task;

  • Check the total time recorded;

  • Check the percentage of the full working day per day and the hours that are missing;

  • Make manual adjustments to hours.

At the top you will find the following resources:

1. Summary: an overview of your time is given here in a quick sentence, along with a brief description of this resource.

2. Contact support: if you need it, ask for help and talk to our team - we are always available to help.

3. Evaluate this space: leave your comment or suggestion for us to improve the time tab.

4. Help: consult the help article whenever you need it.

According to the play on tasks activation, the time bars will show the hours and minutes spent on each day. The colors vary between grey (no adjustment), red (hours above or below the forecast) and green (hours worked), always in accordance with the minimum and maximum time rules established by the manager in the account settings.

Saturday and Sunday will always be included in the last 7 days, and there is no need to adjust the weekend if the employee doesn't have a schedule on these days.

The date with today's will be indicated at the top, as shown in the image above.

5. Examples of time adjustments

The following are some examples of adjustments that can be requested on the timesheet:

February 9 - Friday

The date in grey indicates that this day needs to be adjusted

Hours worked: 3 hours and 55 minutes

Hours to be Adjusted: - 4 hours 05 minutes

February 10 - Saturday

Date in grey indicates that no need for adjustment on this day

No shift on this day (holiday/off)

February 11 - Sunday

Date in grey indicates that no need for adjustment on this day

No shift on this day (holiday/off)

February 12 - Monday

Date in green indicates that there is no need to adjust this day

Hours worked: 8 hours 30 minutes (30 minutes overtime)

February 13 - Tuesday

Date in grey indicates need for adjustment on this day

Hours worked: 30 minutes

Hours to be adjusted: 7 hours 30 minutes

February 14 - Wednesday

Date in grey indicates need for adjustment on this day

Hours worked: 9 hours (1 hour overtime)

February 15 - Thursday (Today)

As this is the current day, today's journey has not yet been completed, so a justification is not necessary.

If adjustments are necessary, the message will appear the next day.

6. How to add the justifications

If you click on Adjust at the bottom of the time bar, you will see a screen where you can adjust the task times. For example, you might include or exclude the hours in each task as follows:

In addition, you can include a justification for the day - choose from the list or write your own.

7. Cellular access block

When users are blocked, they will not be able to access iOS and Android applications, which will present a message asking them to adjust or justify the hours in the last seven days. Runrun.it's web version is the only way to perform this action.
